Three signals: task volume making the bill uncomfortable, workflows needing genuine transactional integrity, or automation critical enough that silent failure is unacceptable. At that point MuleSoft, Boomi, or a custom integration is usually better value. Zapier remains excellent for connecting long-tail SaaS tools.
It depends on shape, not just size. Zapier bills per task and has rate limits, so high-frequency record-level sync gets expensive and slow. Batch-oriented or event-driven workflows at moderate volume are fine. We model expected task consumption during design rather than discovering it on the invoice.
Every Zap we build gets an error path that notifies a named owner, not a shared inbox. Where a step can fail transiently we add retries; where failure means data loss we add a fallback that captures the payload for reprocessing. We also set up a regular review of the Zapier task history.
